These terms apply to plumbing and heating work provided by Polar Heating Ltd (“we”, “us” or “our”) and to your use of polarheating247.co.uk. Please read them alongside your quote or other written agreement with us.

1. Enquiries and quotes
Sending an enquiry through our website does not create a booking or a contract. We will confirm whether we can carry out the work.
A quote describes the work included and its price based on the information available when we prepare it. Unless the quote says otherwise, work outside that description is not included. If we discover that further work or parts are needed, we will explain this and seek your agreement to any additional charge before proceeding, except where immediate action is reasonably necessary to make a situation safe.
If your quote specifies an expiry date, it must be accepted by that date. A booking is agreed when we confirm it with you.
2. Access and preparation
You agree to give us reasonable access to the property and the equipment we need to inspect or work on. Please tell us in advance about anything that may affect the work or safety at the property, including known faults, restricted access or relevant instructions from a landlord or managing agent.
If we cannot safely or reasonably carry out the work because access or necessary information is unavailable, we will discuss a new appointment and any costs with you before further work proceeds.
3. Carrying out the work
We will carry out our services with reasonable care and skill. Any expected start or completion date is an estimate unless we have expressly agreed a fixed date with you. If a delay occurs, we will let you know and arrange a reasonable way forward.
We may need to stop work if we find an unsafe condition. We will explain what we have found and what further action we recommend.
4. Prices and payment
The price and any deposit or staged payments will be set out in your quote or agreed with you before the relevant work begins. Any call-out or diagnostic charge will be explained before you agree to it.
We will issue an invoice for the amount due. Please pay by bank transfer using the details on the invoice and by the date stated on it. If you believe an invoice is incorrect, contact us promptly so we can review it with you.
5. Changes and cancellations
Please contact us as soon as possible if you need to change or cancel an appointment. We will tell you about any work already completed or parts specifically ordered for your job that may affect the amount payable. We will not impose a cancellation charge that is disproportionate to our actual loss.
If you are a consumer and your contract was made at a distance or away from our business premises, you may have a legal right to cancel within 14 days after the contract is made. We will provide any cancellation information required for your particular booking. You can tell us that you wish to cancel by emailing polarheating@hotmail.co.uk; you do not have to use any particular wording.
If you ask us to begin a service during a statutory cancellation period, we may ask you to make an express request. If you then cancel, you may have to pay a proportionate amount for work supplied up to cancellation, where the law permits. Different rules may apply to a specifically requested urgent repair. Nothing in these terms removes a cancellation right given to you by law.
6. Parts, materials and existing systems
We will discuss the parts or materials proposed for your job where appropriate. Manufacturer warranties, if available, are in addition to your statutory rights.
Existing plumbing and heating systems may have faults that could not reasonably be identified before work begins. If we find one, we will explain its effect on the agreed work and discuss any additional work or cost with you. We will not charge for additional work without your agreement, except for an immediate step reasonably needed to make the situation safe.
7. If something goes wrong
If you have a concern about our work, please contact us at polarheating@hotmail.co.uk and give us a reasonable opportunity to inspect it. We will discuss an appropriate remedy. Your statutory rights, including rights relating to services carried out without reasonable care and skill, are unaffected.
8. Our responsibility
We are responsible for loss or damage that is a foreseeable result of our breach of these terms or our failure to use reasonable care and skill. We do not exclude or limit liability where doing so would be unlawful, including liability for death or personal injury caused by negligence, fraud or your statutory consumer rights.
9. Website use
The information on our website describes our services in general terms. It is not a diagnosis or a substitute for an inspection of your particular system. Do not attempt gas or other hazardous work based on information from the website.
You may use the website for lawful, personal purposes. Please do not interfere with its operation or submit material that is unlawful or harmful. Other websites linked from our site are operated by their respective owners; their content and practices are their responsibility.

10. Changes to these terms
We may update the terms shown on our website. The terms supplied or made available when your booking is agreed will apply to that booking, unless we and you agree a change.
11. Law and disputes
These terms are governed by the law of England and Wales. If you are a consumer, you retain any mandatory rights you have under the law. Please contact us first if a dispute arises so that we can try to resolve it.
